   Job Description

The Tobin Project, a catalyst for transformative research in the social sciences, seeks an Executive Assistant to provide operational and administrative support for the organization’s office, activities, and senior managers in a dynamic and intellectually stimulating environment. This well-funded, non-profit, non-partisan organization has built an interdisciplinary network of over 350 leading scholars across 80 institutions, from Nobel Laureates to promising graduate students, who are together working to generate pioneering research on critical problems of the 21st century. Involving policymakers and practitioners at every step in the research process, the Tobin Project aims to identify and pursue questions with the greatest potential to benefit society over the long term.

The Executive Assistant will provide administrative and operational support to the Tobin Project’s President and Executive Management Team, be responsible for office management and event planning, and assume additional responsibilities as appropriate including accounting, human resources outreach and administration, and fundraising support.

Specific responsibilities include:

 Administrative and operational support to the President and Executive Management Team: Conducting scheduling and coordinating meetings; managing and drafting correspondence; assisting in the coordination of regular Executive Team meetings and Board meetings; preparing agendas, notes, and minutes as requested.

 Office Management: Maintaining all office systems and procedures, including computer, telephone, filing and record keeping systems; ordering supplies; managing relationships with building management and other vendors; answering the phone; developing systems and procedures to improve the efficiency of staff; maintaining records, data entry, and developing systems to ensure that the office is organized and operating effectively; organizing weekly staff lunch and other internal meetings.

 Event Planning: Managing the planning and execution of events for the Tobin Project including large conferences and smaller meetings, including: preparing all materials for events; coordinating logistics for participants; arranging travel and accommodations; coordinating with vendors and venues; tracking expenses and budget; collecting and organizing expense reimbursements.

 Additional: Additional responsibilities to support the Tobin Project’s accounting, human resources, and fundraising as needed, including: coordinating payroll and benefits; assisting in recruiting efforts; assisting with bookkeeping and tax reporting; and supporting records maintenance and correspondence for the Tobin Project’s fundraising efforts.

 

Qualifications

A bachelor’s degree is required and work experience in a fast-paced office environment is desirable. Additionally, the applicant will have:

 Highly developed organizational skills and exceptional attention to detail;

 Excellent event planning skills;

 Strong writing and editing ability;

 Demonstrated ability to multi-task and manage competing deadlines and responsibilities;

 The flexibility and resourcefulness to master new and varied tasks;

 An entrepreneurial work ethic;

 The ability to work independently and as a member of a team; and

 Strong interpersonal skills.
